At its core, the review is a vital element of project management. It serves two key purposes:
- Self-Reflection: It’s a starting point, allowing us to align our professional activities—and our lives—with who we truly are, how we work, and the kind of days we want to create.
- Final Assessment: It also marks the end of a project or work cycle, helping us take stock of our journey. This is the moment to see if we achieved our desired outcomes, understand what worked well and what didn’t, and decide how we want to move forward.
In a way, the review echoes something I once read in an old geography book: it’s taking a look at the past to better understand the present—and, I would add, to envision the future.
Through the review, we gain insight into our past to inform our present and to inspire our future vision. It’s a powerful tool that can guide us toward our goals, yet we often find ourselves bypassing it.
Why Do We Tend to Skip the Review?
So, why do we shy away from the review process? From my experience and what many of my clients have shared, here are the three main reasons:
- Unawareness: We might not even realize that a review is a part of the process, especially if we haven’t trained in certain fields. As a result, we miss the opportunity to harness its power.
- Perceived Waste of Time: Sometimes, we might feel the review isn’t worth our time because we don’t recognize its potential value.
- Discomfort: Reflecting on past months, activities, and project phases can be uncomfortable, and that discomfort can lead us to avoid it altogether.
However, taking that necessary look back is crucial for understanding where we’re headed. If we imagine a destination, we need to periodically check our compass to ensure we’re on the right path—otherwise, we risk feeling lost. And yes, getting lost can waste time—unless we venture off the beaten path consciously and with intention.
How the Review Helps Us
The review helps us assess whether we’re heading in the direction we intended or if we need to make adjustments. It also allows us to recognize what fosters our productivity and what might be tripping us up, distracting us, or draining our energy. Understanding our mental attitudes is essential because they can significantly influence our work and life.

The frequency of your reviews can vary based on what feels right for you. Whether you prefer daily, weekly, fortnightly, monthly, quarterly, half-yearly, or even annual reviews, it’s all about finding the rhythm that works best for your life.
Personally, I find a mix of weekly, monthly, quarterly, and annual reviews to be beneficial, and I encourage you to play around with different cadences to discover what resonates with you.
One essential tip: make sure to block out time in your calendar for these reviews. Treat that time as sacred as any important work commitment, because it truly is!
Remember, the longer the timeframe you give yourself for a review, the more time you may need to dedicate to it—or you might choose to spread an annual review over several sessions on different days.
So, what should you do during this dedicated time?
You’ll want to
- gather data related to your professional activities and personal life,
- take a moment to reflect on it,
- analyze your findings,
- and make observations that can guide your future actions—both at work and in life.

- Review your to-do list to see what you’ve accomplished and what’s still on your plate.
- Check your deadlines to gauge where you stand with your projects.
- Reflect on how you felt throughout the day and identify what contributed to those feelings.
- Think about what energized you and what drained your energy.
- Note down any insights, surprises, or moments of gratitude you experienced.
- Do a quick financial check-in—track your income and expenses or review your budget, depending on what you need.
For longer-spanned reviews—like monthly, quarterly, or yearly—start with the insights from your daily, weekly, or fortnightly reflections, and then expand your focus.
Here are some prompts to guide your deeper review:
- What went well during this period?
- What might have gone better?
- How did I truly feel overall?
- What was the month or quarter like regarding commitments, energy, physical and mental well-being, work activities, relationships, and enjoyment? Aim for a well-rounded understanding of your past situation.
You can also integrate prompts from your daily and weekly reviews, such as energy levels or meaningful lessons learned, to gain further insights.
Next, you can delve into specific areas of your life and work.
Choose the important aspects you’d like to focus on; for example, your life areas might include:
- Health and well-being
- Fun and leisure
- Personal growth
On the work side, you might focus on:
- Finances
- Communication and marketing
- Sales
Feel free to stick with the same areas for consistency or mix things up as needed.
Reflection & Action Practice Time
